About the Sangath:
Sangath (www.sangath.in) is one of India’s leading mental health research non-profit organization. It was founded in 1996 with its headquarters in Goa; major hubs in Delhi and Bhopal, and programme sites in many parts of the country. Sangath’s mission and expertise lies in developing and evaluating mental health interventions to be delivered through existing public systems. Its major thematic areas are: Child development and disability; adolescent health; mental disorders; and ageing. Sangath was awarded the prestigious MacArthur Foundation International Prize for Creative and Effective Institutions in 2008 and the WHO Public Health Champions Award for India in 2016. It has completed a number of randomized controlled trials for mental disorders in India, including the only two autism trials in the country.
About the Project:
Outlive is a national youth suicide prevention programme, jointly run by the Indian Law Society (ILS), Sangath and Quicksand Studio and supported by Comic Relief (UK).
About the Role:
Sangath is recruiting Administrative Assistant to support programme administrative needs and office management for the Outlive project. Their roles and responsibilities include
1. Support human resource management
a. Maintain record of staff attendance, leave and time sheets, monthly.
b. Publish job vacancies on job portals, Sangath website and social media and manage recruitment processes for new openings including preparation of candidates lists, scoring sheets and organising interviews.
c. Arrange seating space for new staff and arrange assets
2. Organise travel and logistics
a. Coordinate with travel agents for arranging international and domestic train and air tickets at best price for employees and Sangath collaborators, as per policy
b. Arrange appropriate accommodation for staff and Sangath collaborators (facilitators, speakers, advisors), as per policy.
c. Process employees’ subsistence claims during travel, and prepare vouchers as per SOP.
d. Process local travel reimbursements for all project staff, monthly.
3. Support asset management and purchase
a. Maintain assets register and complete annual compliances for assets issued to staff
b. Coordinate procurement and purchase of any new assets, as per SOP
c. Prepare vouchers for payments
4. Coordinate day to day office management
a. Procure office supplies including stationery, consumables, and coordinate printing for project activities
b. Coordinate meeting space assignments for Delhi Hub office
c. Organise logistics and F&B for meetings in office and external locations, as required
5. Support programme activities and events
a. Identify and rent venues for project events, and lead set-up of required technology and refreshments for participants
b. Process payments to workshop participants, speakers and facilitators with supervision from project coordinators
c. Coordinate with participants to check and confirm RSVP lists, prior to events
d. Prepare RPFs to seek approval for expenditures for small events
e. Complete data entry for registration lists, feedback forms and participant information sheets into Excel, Typeform or RedCap systems, under supervision of Project Coordinators
6. Support task management
a. Prepare weekly trackers of tasks assigned to you and share with Administrative Coordinator for weekly supervision and feedback
b. Work on Tally to day to day booking
Qualifications & Experience:
Essential:
1. Bachelor’s degree in accounts, administration, communications or any related field
2. At least 3 years of prior work experience in administrative and accounting roles
3. Fluency in English and Hindi
4. Proficient in using digital tools (Mobile phones, laptops and audio/video recorder etc.)
5. Proficient in MS-Office with excellent MS-Excel knowledge, internet, outlook and email.
6. Excellent interpersonal skills
7. Excellent documentation skills
